Booking Policy

Booking Your Retreat

  • To reserve the retreat for your crafting group, we kindly ask that one point person, the Retreat Organizer, take the lead. This Organizer will be our main contact for the reservation and will handle all the paperwork and group fees. This streamlined process helps ensure a smooth retreat experience for everyone involved and keeps your costs down.

  • To help you save on costs, we kindly ask Retreat Coordinators to handle the collection and submission of all requested fees. This way, it’s easier for everyone, and you won’t need to worry about individual guests sending in their fees separately.

  • When booking your retreat, you are asked to complete a booking form and agree to the terms of our Rental Agreement outlining our policies, house rules, and expectations for our guests. The booking form includes an area to leave a list of all guests who are attending. After the booking form is complete, the system will take you to the payment page for submitting the deposit. The deposit is required to reserve your dates. 

  • All information included on the booking form, including the guest list, will be kept completely confidential. 

 

Guests/Visitors

  • Guests must be at least 18 years of age. No children/babies are allowed due to the use of sharp objects, and in consideration of the comfort of other guests. No day-campers or additional guests other than the guests allowed under the contract will be allowed. 

 

Minimum stay

  • This property requires a three (3) night minimum stay. If the rental is taken for less than three (3) days, the guest will be charged the rate for three (3) nights.

 

Rental Period

  • Hillside Hideaway Retreat is rented as a complete retreat center. The price remains the same, whether you have 1 person or 12. Base rental: 3-night stay with arrival at 9:00 am on Check-In Date, and Check-Out by 3 pm on Check-out Date.

  • The Retreat can be rented Wednesday through Monday. Any 3-night stay during this period is acceptable. If you are interested in a longer stay, there is the option to rent the retreat up to 5 nights between Wednesday and Monday. 

 

Deposit

  • A deposit of 50% of the rental total cost is due upon the reservation of your retreat dates. The deposit is non-refundable and applied toward the rental fees.

 

Rental Payment

  • Final payment for the remaining 50% of the rental cost is due in full 30 days before the scheduled Check-In Date.

 

Cancellation Policy

  • If the Rental Agreement is canceled more than 120 days before the Rental Period start date, the entire deposit will be returned only if the dates can be rebooked.

  • Rescheduling is only available if there are open dates on the calendar.

  • If the Rental Agreement is canceled between 30-119 days before the Rental Period start date, the Renter will forfeit the deposit.

  • If the Rental Agreement is canceled within 29 days of the first day of the Rental Period, the Renter will be responsible for payment of the full rental rate.

  • All notices of cancellation must be made by email at hillsidehideawayretreatpa@gmail.com.

  • The Property Manager reserves the right to cancel an agreement in the event of an emergency or unforeseen event. In the event of Management cancellation, payment will be refunded in full. The Property Manager may also be entitled to cancel the Guest stay if the house rules are broken during the rental period. No refund will be offered in this event.

 

Insurance

  • We encourage all renters to purchase travelers insurance in case of unforeseen circumstances, accidents, or other issues that may prohibit the guest from traveling or fulfilling rental terms.

Catering

  • If catering is desired, all catering coordination is to be completed by the Renter. We do provide local catering options and local restaurant recommendations in our Blog under the Local Food category. Plus, we will have a binder of recommended restaurants and their menus for you at the retreat. 

  • The Property Manager shall not be held responsible or liable for any adverse food-related reactions or faults made by any catering company. For guests with severe allergies: While restaurants and catering companies can try to accommodate, they cannot always ensure food is 100% free of allergens. We encourage guests with allergies to exercise their judgment before consuming.

 

Damages

  • Accidents happen. However, the Renter and all guests agree to maintain the property in good condition and agree to replace or pay for any loss, breakage, or damage caused by the group. All damages and excess cleaning will be charged at the actual restoration costs, with minimum labor charges of $80 per hour.

  • A damage deposit of $200 will be charged on the credit card used for making the reservation. This will be held for a maximum of 7 days after the Check-out Date. If no damages are found upon inspection by the Property Manager, the damage deposit will be released to the Renter’s credit card.

  • Should any repairs be required, the Property Manager will deduct the damage charges from the damage deposit. If there is a remaining balance the Property Manager will provide the Renter a bill within 14 days after the Rental Period ended. The Renter shall be responsible to pay the remaining balance within 7-days of receiving this invoice. If the remaining balance is not paid within 7-days of the invoice, the Property Manager may attempt to recover the excess amount through any legal recourse available.

 

Guest List

  • When you reserve a retreat with us, you’ll be asked to provide a list of everyone in your group. 

  • Want to add or remove a guest after the invoice due date?  Contact us to change the list of names we have on file.

 

Special Circumstances

  • Just let us know about any special circumstances, and we’ll work with you whenever possible.
